Deactivate, reactivate or transfer data located on Customers, Contracts and Properties.

Use Client Data Management to reduce administration time and access previously deactivated data.

Using the Client Data Management feature

The Client Data Management feature allows users to deactivate, reactivate and/or transfer records within a FireMate database. Some of the use cases of these are: 

  1. Where a Customer has cancelled and we would like to deactivate the records while keeping the history
  2. A property associated to one Customer has been purchased by another Customer and can then be transferred to the new owner, keeping history.
  3. A previously cancelled Customer returns and records can be reactivated.    

Locate Client Data Management 

Client Data Management works in a hierarchy structure. If a record is deactivated at the top of the tree, all associated it will deactivate every other item beneath it. 

  1. From the FireMate navigation bar, select [Admin]
  2. Select [Client Data Management] from the dropdown

How to deactivate a FireMate record

  1. Locate the Client Data Management feature
  2. From the list, select the item you wish to deactivate.
  3. Select [Deactivate this item]
  4. Enter a reason for the status change within the [Comments / Reason for status change] section.
  5. Review the open activities for that S&E type under the [Other Items affected by this change] section.
    1. Where a number is present within the [Open Jobs] or [Open RA's] columns, continue the below steps.
    2. Where a number is not present, skip to step 5.
  6. To close the activity, right-click on an item in the list and select [Find RAs] or [Find Jobs].
  7. Repeat the above steps until all items listed in the [Other items affected by this change] section are displaying "0" within the [Open RAs] and [Open Jobs] columns.
  8. Select [Confirm]  

You can view the status change history at any time by selecting the [View Status Change History] button.

How to reactivate a FireMate record

  1. Locate the Client Data Management feature
  2. From the left hand side, select the item you wish to reactivate.
  3. On the right hand side, select [Reactivate this item]
  4. Enter a reason for the status change within the [Comments / Reason for status change] section.
  5. Select [Confirm]

How to transfer a FireMate record

  1. Locate the Client Data Management feature
  2. Select the [Transfer Contracts/Properties] tab
  3. On the left hand side, select the record that needs to be transferred
  4. On the right hand side, select the new home for the record selected in step 3
  5. Select [Transfer Selected]
