How to bulk update Notifications and Scheduling and/or Estimated Durations

The value of the Assignment Tools

Using the Assignment Tools on FireMate will reduce the administrative strain as you can bulk update site notification preferences, estimated durations and scheduling options.  

This means the administrator does not have to manually select each Site, System and Equipment or Product in order to update these, it can all be done in just a few minutes. 

Locating the Assignment Tool

Use the Assignment Tool in your Admin menu to locate Properties with a "Next Inspection" date that is set in the past.

  1. From your FireMate navigation bar, select [Admin]
  2. From the dropdown, select [Assignment Tools] 

Updating Notification Preferences

  1. First, locate the Assignment Tools feature
  2. From the Customer drop-down select the customer required or if selecting a specific site, from the Property drop-down please select the site.
    1. (Optional) Update any additional filters you would like
  3. Select [Search] 
  4. Select which S&E types you would like to include, you can [Select All] or tick the ones required.
  5. Select [Notify]
  6. You can now update to [Set Checked Items to Notify] or [Set Checked Items to Not Notify]
  7. Once you have confirmed you would like to amend these will update.

    How to set and update Estimated Durations

    1. Firstly, locate and open the Assignment Tool feature.
    2. Narrow the search by applying any of the below pictured filters
      1. Ensure to select [All] for 'System and Equipment Type' and 'Product' where you do not wish to filter by this section 
    3. Select [Search] 
    4. From the search results, choose the inspections from the list you would like to update the estimated duration for.
    5. Select [Est. Duration] 
    6. Entered the minutes you would like the estimated duration to reflect
    7. Select [OK]

       
    8. Review the estimated duration that has been applied to the inspection period

    Generate the report by selecting [Reports] and [Client Productivity] from your FireMate navigation bar.

    Updating Scheduling 

    1. From the System and Equipment Type box tick the types you would like to update.  
    2. From the Product box tick the product you would like to update, you can select [All] if you would like to update all products in the S&E Type.
    3. From the Customer drop-down select the customer required or if selecting a specific site, from the Property drop-down please select the site.
      (Optional) Update any additional filters you would like
    4. Select [Search] 
    5. Select which S&E types you would like to include, you can [Select All] or tick the ones required.
    6. Select [Set Scheduling Options]
    7. You can now enter the new date you would like this amended to.
    8. You can now enter the new time you would like this amended to.
    9. Once you are happy with the new schedule select [Confirm] these will update.

    You can select [Other Options], this will allow you to select a specific day, however this is not recommended as may land on a weekend.
